Data Deletion & Vault Terms

At The Bee & The Palm, your data belongs to you. This page explains how you can manage, export, and delete your personal data, as well as the specific terms governing the Digital Canopy vault. We believe in transparency and your right to control your information.

1. Your Right to Delete Your Data

You have the right to request deletion of your personal information at any time. This includes account information, purchase history, vault content, community contributions, and any other data associated with your account.

How to Request Deletion

  • Through your account settings (Account > Privacy > Delete My Data)
  • By emailing [email protected] with the subject line "Data Deletion Request"
  • By contacting our support team at [email protected]

What Happens After Deletion

  • Your account will be deactivated immediately upon confirmation
  • All personal data will be permanently removed from our active systems within 30 days
  • Backup copies will be purged within 90 days
  • Anonymized, aggregated data (which cannot identify you) may be retained for analytics
  • Data required by law (e.g., financial transaction records) will be retained only as long as legally required

Important Considerations

Data deletion is permanent and irreversible. Before requesting deletion, we recommend exporting any content you wish to keep. Once deleted, we cannot recover your vault content, journal entries, or community contributions.

2. Digital Canopy Vault Terms

The Digital Canopy is your private digital vault for preserving voice notes, photos, letters, documents, and other personal artifacts as part of your Golden Grove Legacy. The following terms govern your use of the vault.

Individual file size limit: 100 MB per upload. Supported formats include JPEG, PNG, PDF, MP3, MP4, WAV, and common document formats. Storage limits may be increased through plan upgrades.

Data Ownership

You retain full and complete ownership of all content you upload to the Digital Canopy. We do not claim any intellectual property rights over your materials. Your vault content will never be used for advertising, sold to third parties, or accessed by our team except as necessary to provide the service or as required by law.

User Roles and Access Control

  • Owner (you): Full read, write, upload, delete, and export access. Can designate successors and contributors.
  • Contributors (Village Leaves): Can add content to designated areas only. Cannot view, modify, or delete other content.
  • Successors: Designated individuals who receive read-only access and export rights upon verified succession event.
  • Viewers: Individuals you explicitly share specific items with. Read-only access to shared items only.

Export and Portability

You may export your entire vault content at any time. Exports are provided as a downloadable ZIP archive containing all files in their original formats, plus a metadata file with organization structure and timestamps. Export requests are fulfilled within 48 hours for vaults under 5 GB, and within 7 days for larger vaults.

Successor Access

The Digital Canopy allows you to designate trusted successors who will inherit access to your vault. This is a core feature of the Golden Grove Legacy, ensuring your story endures.

  • You may designate up to 3 successors through your account settings
  • Successors must be at least 18 years old and have their own verified account
  • Succession is triggered by verified documentation (death certificate or legal incapacity declaration)
  • Successors receive read-only access and the ability to export all vault content
  • Successors cannot modify, delete, or add content to your vault
  • You may update or revoke successor designations at any time while your account is active

Vault Deletion

You may delete individual items or your entire vault at any time. Deleted items are moved to a 30-day recovery period before permanent removal. After 30 days, deletion is irreversible. If your account is inactive for more than 24 consecutive months, we will attempt to contact you and your designated successors before taking any action on your vault content.

Service Continuity

We are committed to the long-term preservation of your legacy content. In the event that The Bee & The Palm ceases operations, we will provide at least 90 days notice and ensure all users can export their vault content before any service termination. We will make reasonable efforts to transfer vault hosting to a successor service provider.

3. Security Measures

We implement the following security measures to protect your vault content:

  • Encryption at rest (AES-256) for all stored files
  • Encryption in transit (TLS 1.3) for all data transfers
  • Regular automated backups with geographic redundancy
  • Access logging and anomaly detection
  • Two-factor authentication available for account access

While we implement industry-standard protections, no system is completely immune to risk. We strongly recommend maintaining local backups of irreplaceable content.
